Associations

We currently provide accounting service for over 100 Condominium and Homeowner Associations.  We work with Associations that are self-managed, have on-site managers or work with an outside Management company.  We provide the back office services that are necessary but time consuming while keeping the Board of Directors up to date on the status of the Association's financial situation.

Our following services are not all inclusive and can be modified to meet your needs.  Our typical accounting services include the following:

Standard Services (Fixed Fee):

  • Collect (through a lockbox system) maintenance fees from each owner.  We will record payments to each owner's account on a daily basis.
  • Maintain an accounts receivable record for each owner.  This will also include a prepaid report for advance maintenance fees received.
  • We will prepare a delinquency listing and issue late notices and late fees monthly.  This includes sending a copy of the delinquency to the officer(s) of your choice to determine if legal action would be required.
  • Write checks for bills authorized for payment weekly.  A checkbook register will be included with each check run.
  • Reconcile each bank account monthly.
  • Prepare monthly or quarterly financial statements with a general ledger, etc.
  • Provide, as needed, a financial recap (usually for board meetings) reflecting cash balances, delinquency listing, etc.
  • Sales tax returns, if needed

Optional Services

  • Payroll services, including creation of paycheck, quarterly payroll returns and annual W-2's.
  • Prepare Association's tax returns
  • Prepare or assist in the drafting of a proposed budget
  • Handle any non-recurring services such as special assessments, special mailings to unit owners, etc.
  • Consultation of condominium documents from a financial standpoint
  • Provide additional copies of financial statements, specifically your annual statements, etc.
  • If necessary, provide any annual compiled, reviewed or audited financial statements that may be required
  • Assist the closing agent, on behalf of the association, to facilitate the sale of a unit.  There is usually a charge to the seller of that unit.
  • Annual, we will order, assemble, and mail coupons to unit owners.  We will change for our time and cost associated with this service.  The bank will charge the association for the print of the coupons.
  • Provide your Association with a web site.  This site coul be sued the by Board for posting items, schedule, etc.  Also, if desired, and password proteted, unit owners could see their own account detail.  If interested, we can discuss the cost and benefits for this service.
  • Attendance at condominium, board or other meetings.
